(100% Remote /California Based)
The Blake Law Firm (BLF) is a premier boutique firm specializing in real estate and business law. As a growing firm with a thriving statewide practice, we have an immediate need for a full Time Legal Assistant based in California.
While this position is 100% permanently remote (no future "return to office" mandates), we are specifically seeking a candidate based in California. Candidates who reside outside of California will NOT be considered for this position.
Who this role is for:
Candidates who have a history of job stability, a minimum of 3 years of experience in an administrative assistant or executive assistant role
Candidates who have a dedicated home office space with no distractions or noise
Candidates who are able to work during our office hours: Mon-Fri 8:30 am to 5 pm PST
Candidates who are have good technology skills, enjoys working in spreadsheets
Candidates who have excellent attention to detail, responsiveness and follow through
Candidates who are open to growing into a paralegal and/or marketing position
Key Responsibilities
We are seeking an organized and detail-oriented Administrative Assistant to provide high-level support to our team. The ideal candidate will be responsible for streamlining our office workflows through efficient document management, expert data organization, and professional communication.
Digital File Management: Maintain and organize our digital filing systems, ensuring all documents are stored, indexed, and retrieved according to company protocols for maximum efficiency.
Document Production: Prepare, format, and finalize various professional documents to support department needs.
Drafting & Editing: Compose clear, accurate correspondence and perform thorough proofreading and editing of reports, memos, and internal communications.
Excel Proficiency: Create and maintain complex spreadsheets; utilize advanced features such as sorting, filtering, pivot tables, and conditional formatting to organize and analyze data.
Mail Processing: Manage the daily intake, sorting, and distribution of incoming mail and coordinate the preparation and dispatch of outgoing packages and correspondence.
Provide back up phone coverage when the other Legal Assistant is out of office, sick or on vacation
Screen PNC (potential new clients) and set up new client files/matters
Respond to work related emails, phone calls, letters, and other communications in a prompt and professional manner
Provide business development support (edit presentation slides, support team with video recordings, edit video transcripts, do market research
Review, organize and manage client files (all digital files)
Enter expenses into practice management system
Provide assistance with internal data analysis (excel spreadsheets)
Perform other administrative tasks as directed by the attorneys
Technical Skills: Candidates must proficient with:
MS Office Suite (Word, Excel, Outlook)
Google WorkSpace (GMail, Google Docs, Google Sheets)
AI programs such as Gemini
