ca admin assistant Position:

We are seeking an Administrative Assistant with excellent accounting skills to become a part of our team. You will provide accounting and administrative support to our Director of Operations, Attorneys, and Paralegals. Although this position is remote we require this team member to live in the PST zone to better facilitate answering our front desk office phone line.

Responsibilities:

  • Answer front desk phones (remotely) and assist with new client intake, must be available during 8:30 am to 5:00 pm Mon-Fri in PST time zone

  • Draft and email monthly invoices

  • Process and reconcile client payments

  • Update and distribute client billing summaries

  • Track staff time entries and maintain various internal productivity spreadsheets

  • Assist Operations Manager with keeping abreast of HR laws and regulations

  • Update Firm's policies and process manual

  • Digital file maintenance

  • Assist with office supply orders and managing vendor orders

  • Research and writing

Qualifications:

  • Must be a self-starter

  • Experience working in a remote position

  • Thrives working in a fast-paced environment

  • Previous experience working in an administrative position

  • Must be located in PST time zone to answer our phones

  • Ability to prioritize, multitask and follow up

  • Excellent written and verbal communication skills

  • Ability to work independently and with minimal supervision

  • Excellent Excel/spreadsheet skills

  • Deadline and detail-oriented

  • Proactive and able to understand next steps in all projects
